Section 1
Receipt & Bill Scanning

On the Expense and Supplier Invoice forms, upload a photo or PDF of a receipt or bill — the AI reads it and fills in the vendor, amount, VAT, and line items for you to review before saving. Nothing is saved automatically; you always confirm the extracted details first.

If the scan can't confidently match an item to your item list, it fills in a best-guess description instead — check the item field before saving.
Section 2
Account Suggestions

On Expenses and Journal Vouchers, click "Account Help" and describe the transaction in plain words — the AI picks the best-matching account from your own Chart of Accounts.

When Nothing Matches

If none of your existing accounts are a genuine fit, it says so honestly and suggests a new account name and type instead of forcing a wrong match. Click "Yes, create it" and the account is created for you — nested at the top level with the next available code, same as adding one manually.

Expenses

Suggests a single debit account for the expense line, learning from your own past categorizations first.

Journal Vouchers

Suggests both the debit and credit side, since a manual journal entry always has two.

Section 3
Ask Your Reports Questions

Profit & Loss, Balance Sheet, General Ledger, and Tax Summary reports have an "Explain with AI" button. It reads the exact figures on your screen — nothing is recalculated separately — and explains them in plain language, with follow-up questions answered in the same conversation.

Reopening the same report doesn't re-spend credits — the initial explanation is cached per report per day. Click "New conversation" only if you want a fresh answer.

Upcoming Saudi festivals with approximate dates — click one for AI advice on what to stock or discount for it specifically.

Dead Stock Clearance

Flags items that have genuinely stopped selling, computed from your real sales history — with optional AI-suggested clearance discounts (enable it in Settings first).

Section 5
AI Usage & Credits

Every AI request is logged under Billing > AI Usage — who asked, what for, and how many credits it used. New accounts start with 100 free AI credits.

When Credits Run Low

You'll see a warning before your balance is fully used, with the real numbers — how much you have left and roughly how much the next request needs — instead of a generic error. Only a company admin can top up the limit.

Running out of AI credits only pauses AI features — every other part of FastFatoora keeps working normally.
